Position Description

The bookkeeper position creates financial transactions and creates financial reports from that information. The creation of financial transactions includes posting information to accounting journals or accounting software from such source documents as invoices to customers, cash receipts, and supplier invoices. The bookkeeper also reconciles accounts to ensure their accuracy. In addition, this position will handle organizational and clerical support tasks. This may include organizing files, scheduling appointments, receiving guests, and maintenance of office supply levels. 



  • Issue invoices to customers, ensuring customers are invoiced per terms of contract.

  • Pay supplier invoices in a timely manner.

  • Record cash receipts and make bank deposits.

  • Ensure that receivables are collected promptly.

  • Conduct monthly reconciliation of all bank accounts.

  • Process payroll in a timely manner.

  • Verify and reconcile payroll tax returns.

  • Prepare 1099 forms and related 1096 for timely filing.

  • Post banking and credit card transactions to accounting system.

  • Export monthly financial data to spreadsheets for analysis.

  • Maintain the annual budget.

  • Calculate variances from the budget and report significant issues to management.

  • Maintain the chart of accounts.

  • Provide information to external accountant.

  • Maintain an orderly accounting system.

  • Comply with local, state and federal government reporting requirements.

  • Monitor office supply levels and replenish as needed.

  • Provide clerical and administrative support to company as needed.

  • Greet guests upon arrival.


Required Skills & Qualifications

The bookkeeper candidate should have an Associate's degree in accounting or business administration, or equivalent business experience, as well as a knowledge of bookkeeping and generally accepted accounting principles. Preference will be given to candidates with a working knowledge of Salesforce, QuickBooks accounting software package, and Google Chrome apps.
